Job Description

    Job Description
    • Maintains Presiding Judge's calendar; types daily schedule; schedules appointments, hearings, trials, etc…
    • Processes all incoming correspondence such as regular mail, courier envelops, faxes, e-mails, telephone calls which are addressed to the manager distributing these to the appropriate personal, and where action is required, ensuring that these are acted upon in an efficient and productive manner.
    • Maintains an organized filing and follow-up systems for all correspondence.
    • Maintains all required registries log for incoming and outgoing mail, faxes, e-mails and other types of correspondence.
    • Maintains total confidentiality of all matters relating to the management.
    • Maintains a monthly, weekly and daily log of appointments and meetings, on a timely manner.
    • Ensure the correct and smooth flow of paperwork to relevant departments and personnel.
    • Takes dictation in shorthand, types reports, memorandums, and other types of correspondence and distributes them as advised.
    • Arranges appointments and meetings; takes minutes; and maintains agenda.
    • Answers telephone calls, screens them, and directs them accordingly.
    • Handles Quotations and Enquires.
    • Develop a communications channels with internal members, and external audiences.
    • Performs responsible and complex administrative and secretarial duties.
    • Prepare/Translate a variety of reports in English and Arabic.
    • Editing/Proofing Shorthand/Speed writing.
    • Maintains personnel files and time sheets.
    • Sets up and maintains filing systems.
    Skills
    • Minimum 5 years of experience in the same field.
    • Bachelor Degree preferred in Business Administration.
    • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
    • Self-driven, results-oriented with a positive outlook, and a clear focus on high quality and business profit.
    • Well-presented and businesslike, sufficiently mobile and flexible to travel up to a few days.
    • Mature, credible, and comfortable in dealing with senior big company executives.
    • Able to communicate and motivate via written media with presentations skills.
    • Ability to develop, plan, and implement short- and long-range goals.
    • Must be an excellent face-to-face and telephone communicator.
